We are based in Alberta and handle personal information in accordance with Alberta's Personal Information Protection Act (PIPA) and other applicable Canadian privacy laws.
"Personal information" means information about an identifiable individual, such as your name, contact details, booking history, or image.
We collect, use and share personal information only with your consent, unless the law permits or requires otherwise. You can withdraw your consent at any time, subject to legal or contractual limits. Withdrawing consent may affect our ability to provide some services, such as class bookings.

Our studios use security cameras (CCTV) in entrances, front desk, common areas, and in-studio to protect members, staff and property. We do not place cameras in change rooms or washrooms. Footage is reviewed only when needed for security, to investigate an incident, or to provide coaching and feedback to our employees and sub-contractor instructors.
Members under 18
People under 18 may book classes only with the consent of a parent or guardian. We collect a minor's information from, or with the consent of, their parent or guardian, and the parent or guardian may exercise the minor's privacy rights on their behalf.

Unsubscribing from marketing does not stop service messages about your bookings or account.
How we share your information
We do not sell personal information.
Across our studios. HotShop and Reformed are both owned by HotShop Corporation. We share member information between our studios to manage accounts and to tell you about classes and offers at our other studio, subject to your marketing choices.
Service providers. We use service providers to run our business. They may access personal information only to perform services for us, and we require them by contract to protect it.
Service providers outside Canada. Some of our service providers store or process personal information outside Canada. While there, it is subject to the laws of that country and may be accessible to its courts and authorities.

To request written information about our policies and practices for service providers outside Canada, or to ask questions about how they handle your information, contact our Privacy Officer (see Contact us).
Legal and safety reasons. We may disclose personal information without consent where required or permitted by law, for example to comply with a court order, respond to an emergency that threatens someone's life, health or safety, or investigate a breach of an agreement or the law.
Business transactions. If HotShop or one of its studios is sold, merged or financed, personal information may be disclosed to the parties involved as permitted by PIPA, and used by any acquirer only for the purposes described in this policy.
Cookies and analytics
Our websites use cookies and similar technologies to keep the sites working, remember your preferences, and understand how visitors use them. Squarespace provides our website analytics, and we use advertising analytics pixels from partners such as Google and Meta.
You can block or delete cookies in your browser settings. Some parts of the website may not work properly without them.
Retention and security
How long we keep information. We keep personal information only as long as reasonably needed for the purposes in this policy and to meet legal, tax and accounting requirements. We generally keep member account records for 7 years after your last visit or purchase, and security camera footage for 30 days unless it is needed to investigate an incident. Cameras store footage locally and may not be recording at all times. After that, we securely destroy or anonymize the information.
Safeguards. We protect personal information with reasonable physical, administrative and technical safeguards, including access limited to staff who need it and contracts requiring our service providers to protect it. No system is completely secure, so please keep your account password private.
Privacy breaches. If a breach of personal information creates a real risk of significant harm, we will report it to the Office of the Information and Privacy Commissioner of Alberta and notify affected individuals as required by law.
